Administrative Assistant to musician/composer/artist

Overview
We are seeking a dynamic and highly organized Administrative Assistant to support a talented musician, composer, and artist. The ideal candidate will bring energy, professionalism, and a passion for the arts to help elevate the artist's vision and productivity. Duties

Initially help sorting and packing to aid in moving from one location to another.and coordinate the artist’s calendar, scheduling rehearsals, recording sessions, meetings, and personal appointments with precision.
Organize and plan events such as album launches, performances, and promotional appearances from start to finish.
Handle all aspects of office management including filing, data entry, and maintaining organized digital and physical records.
Prepare correspondence, proofread materials, transcribe notes, and ensure all communication is clear, professional, and timely.
Facilitate internal communication among team members and external partners using collaboration tools like Google Workspace and Microsoft Office Suite.
Arrange business travel logistics including flights, accommodations, transportation, and itineraries for upcoming engagements.
Oversee bookkeeping tasks using QuickBooks or similar software to track expenses, invoices, and budget reports accurately.
Coordinate project timelines with artists’ management teams using project management software to ensure deadlines are met efficiently.
Manage phone etiquette for multi-line systems and handle confidential information with discretion at all times.
Support video conferencing setup using platforms like Zoom or Microsoft Teams for virtual meetings or performances.

Experience

Proven experience as an executive assistant or personal assistant supporting creative professionals or in a similar administrative role.
Demonstrated expertise in event planning and organizing large or small-scale events within a creative or entertainment setting.
Strong proficiency with productivity software including Microsoft Office (Word, Excel, Outlook), Google Workspace (Docs, Sheets), and project management tools.
Skilled in bookkeeping tasks such as invoicing, expense tracking, and financial record keeping using QuickBooks or comparable programs.
Excellent organizational skills with the ability to prioritize multiple projects while maintaining attention to detail under tight deadlines.
Exceptional written communication skills with experience proofreading and transcribing audio or video recordings accurately.
Familiarity with office management procedures such as filing systems, front desk operations, data entry, and customer service protocols.
Technical proficiency in managing calendar systems like Microsoft Outlook Calendar and scheduling tools such as DocuSign for document signing processes.
Experience working as part of a collaborative team supporting C-suite executives or high-profile clients in fast-paced environments is highly desirable.
