Position Summary
Young Musicians Unite is seeking a highly organized, proactive, and people-focused Human Resources Associate to support our recruiting, employee administration, payroll, benefits, compliance, and workplace operations.
This role supports every stage of the employee lifecycle—from recruiting and hiring through onboarding, payroll administration, benefits coordination, performance management, employee support, and offboarding.
A major focus of this position is managing the front end of YMU’s hiring process. The Human Resources Associate will oversee the early stages of recruitment for open positions by reviewing resumes, evaluating Culture Index assessments, conducting pre-screening interviews, proactively sourcing and contacting prospective candidates, and coordinating qualified candidates through each phase of the interview process. This position plays a critical role in helping YMU identify exceptional talent while providing a professional and engaging candidate experience.
The Human Resources Associate will also maintain accurate employee records, coordinate payroll and benefits processes, support performance review cycles, respond to employee questions, and help ensure compliance with organizational policies and employment requirements. The role will assist with office administration and continuously improve the systems and processes that support YMU’s growing team.

Key Responsibilities
Talent Acquisition and Recruiting Operations
Manage the early stages of recruitment for open positions across the organization.
Review resumes and applications to identify qualified candidates.
Evaluate Culture Index survey results as part of YMU’s hiring process.
Conduct pre-screening interviews to assess candidates’ qualifications, communication skills, and organizational fit.
Proactively source prospective candidates through job boards, networking, and outbound recruiting efforts.
Contact prospective candidates and maintain active talent pipelines.
Coordinate Phase 2 and Phase 3 interviews with hiring managers and organizational leadership.
Maintain accurate candidate records and hiring documentation.
Provide timely and professional communication throughout the candidate experience.
Coordinate offer letters, onboarding documentation, and new-hire logistics.
Continuously improve recruiting workflows, hiring systems, and the overall candidate experience.
Human Resources Administration
Support the complete employee lifecycle, from onboarding through offboarding.
Coordinate new-hire onboarding, orientation, and employment documentation.
Maintain confidential employee records in ADP and other organizational systems.
Coordinate I-9 verification, E-Verify, background checks, and employment compliance requirements.
Administer and track PTO, sick leave, holidays, and employee leave requests.
Maintain HR policies, employee handbook updates, and organizational forms.
Serve as a point of contact for employee HR questions and direct complex matters to the appropriate member of leadership.
Support employee relations initiatives while maintaining professionalism, confidentiality, and discretion.
Assist with employee offboarding, final documentation, and access-removal coordination.
Performance Management and Employee Experience
Coordinate employee review schedules, including 30-day, 60-day, 90-day, quarterly, and annual performance reviews.
Maintain performance-management tracking systems and documentation.
Follow up with managers to ensure reviews are completed accurately and on schedule.
Support employee engagement initiatives, appreciation events, wellness activities, and professional development.
Coordinate internal training sessions and organizational meetings.
Help foster a positive, collaborative, accountable, and high-performing workplace culture.
HR Systems and Administrative Support
Maintain organized Google Workspace folders, employee records, and shared HR resources.
Develop and improve HR-related Standard Operating Procedures, workflows, checklists, and documentation.
Coordinate organizational calendars, recurring meetings, and internal communications related to employees and HR processes.
Support office inventory, vendor coordination, and other administrative needs when necessary.
Assist with cross-functional projects and organizational initiatives.
Identify opportunities to improve efficiency through automation, AI tools, and process improvements.
Required Qualifications
Two or more years of experience in Human Resources, Recruiting, People Operations, Office Administration, or a related role.
Experience managing recruiting pipelines, applicant tracking, or talent-acquisition processes.
Experience reviewing resumes and conducting candidate interviews or pre-screening calls.
Experience coordinating interviews with multiple hiring managers.
Experience administering employee benefits and maintaining confidential HR records.
Knowledge of employment compliance, I-9 requirements, E-Verify, and onboarding best practices.
Strong proficiency with Google Workspace, including Docs, Sheets, Drive, and Calendar.
Exceptional organizational and project-management skills.
Excellent written and verbal communication skills.
Ability to handle confidential information with professionalism and discretion.
Ability to manage multiple priorities in a fast-paced environment.
Preferred Qualifications
Experience working in a nonprofit organization.
Experience using ADP.
Experience with Asana or another project-management platform.
Experience with applicant tracking systems.
Familiarity with Culture Index, Predictive Index, DISC, or other behavioral assessments.
Experience developing HR processes, workflows, and Standard Operating Procedures.
Experience using AI tools to improve productivity and workflows.
Bachelor’s degree in Human Resources, Business Administration, Industrial-Organizational Psychology, Operations Management, or a related field.
Compensation and Benefits
Salary: $55,000–$65,000 annually, based on experience.
