Scope of Position Contribute to a kind, collaborative work environment Customer service for walk-in patrons and program participants during office hours Inbound and outbound communication through phone and email Event support (including occasional evenings and weekends, per season concert schedule) Frequent interaction with coworkers, vendors, instructors, program participants Creative problem solving Cooperative and contributing team player Commitment to equity and diversity Program planning, evaluation, and development in partnership with the Executive Director Work with Executive Director to determine annual outreach program goals and objectives Work with ED to evaluate programs for impact and budget performance annually Research and evaluate outside outreach programs, stay informed of music education learning opportunities and trends, and connect with peers through ACSO, the League of American Orchestras, and other partner organizations Collect quantitative and qualitative data from outreach programs for ED use in grant reports and applications Support music education through coordination of outreach programs and volunteers Schedule Instrument Petting zoo appearances throughout the County, aligned with program goals and objectives Transport Instrument Petting zoo items to and from events, oversee setup and volunteers Determine and assist in creating printed collateral materials for Instrument Petting zoo Work with ED to redesign Strings in Schools program including budget, target schools/areas, scope, scale, and curriculum Work with Concertmaster to coordinate instrument rentals program and manage instrument inventory, promote rentals as appropriate at outreach events Coordinate roster of teaching artists and promote as appropriate at outreach events Work with Youth Symphony conductors to promote and recruit as appropriate at outreach events Update the Music Director, Music Education instructors, and Music Education Committee with outreach program updates at periodic meetings. Support administrative operations related to education outreach programs Attend Monday Youth Symphony rehearsals and perform set up and clean up as needed Administrative support for outreach programs including data entry, database management, scheduling, filing, and other administrative tasks Tracking project and program deadlines, set task reminders, update project “roadmaps,” and provide team updates Coordinate outreach volunteers, including scheduling and training, utilizing CERVIS software Organize and maintain music education materials such as workbooks, historical binders and videos (digitize to archive Dropbox and discard hard copies when possible), and other materials and supplies General office support when covering open office hours, such as phone answering, walk-in customer service, and routing mail and messages as needed Manage program participant accounts in our database, including keeping contact information and program affiliations current Help as needed – the all- encompassing “other duties as assigned” Be up for the challenge that working in the performing arts requires Understand that COVID-19 has created unique challenges for our industry and organization Demonstrate flexibility, humor, and grace Lighten the load for team members when and where you can Be accountable – celebrate success, own up to mistakes, support the team, and accept/ask for help when you need it Required Traits & Skills Music education background Knowledge of classical music instruments A college degree and/or teaching certificate A valid driver’s license Proficiency in Microsoft Office (Word, Excel, Powerpoint) A basic understanding of CRM systems or databases Familiarity with digital filing systems such as Dropbox and Google Drive Basic math skills Professional use of punctuation and grammar Keen attention to detail Excellent time management Creative problem solving Sense of humor Flexibility Accountability Physical Demands & Abilities Regularly speak audibly and clearly over the phone and via Zoom Regularly spend several hours sitting and using office equipment and computers Sometimes climb a ladder carrying a light load Sometimes drive equipment and supplies to event/recording locations Sometimes assist with moving and setting up chairs and music stands Occasionally lift 20-30+ pounds The San Luis Obispo Symphony is an equal opportunity employer, will not discriminate, and will take “affirmative action” measures to ensure against discrimination in employment, recruitment, advertisements for employment, compensation, termination, upgrading, promotions, and other conditions of employment against any employee or job applicant on the bases of race, creed, color, national origin, or sex.
