Registrar (Mission District Branch)

Working in a shared leadership model with three additional registrars and with oversight from the Executive Director, the MDB Registrar’s responsibilities include the overall management and implementation of registration activities for the Community Music Center’s Mission District Branch. The MDB Registrars work closely with the Richmond District Branch Registrar and CMC’s Program Director to review policy and procedures related to all aspects of student enrollment, manage information in CMC’s registration database, and develop and maintain the master school schedule. -Responsible for all communications for student registration and attendance, including assisting in the ongoing improvement of the web-based registration process -Assist with the implementation and procedures for re-registration, new student registration, and ongoing registration for each quarter -Assist with the management of the registration system every quarter pertaining to the lesson dates, tuition fees, discounts, bulk invoicing, and online enrollment status Communication with Faculty and Program Coordination: -Acts as a key liaison between faculty, students/parents, and staff -Foster clear and efficient communication with teachers regarding their schedule, rosters, and attendance records -Communicate CMC registration and attendance policy and procedures with faculty and students -Maintain an open dialogue and prepare/align registration information regarding all new, current, and dropped students with Program Coordinators (Mission District Young Musicians Program, Older Adult Choir Program, and Merit Scholarship Program), the Richmond District Branch Registrar, and the CMC Program Director -In collaboration with the Program Director, create group enrollment reports at the beginning of each quarter to determine appropriate class sizes -Assist with the preparation of enrollment reports throughout each enrollment period, as needed to support grants and for annual year-end statistics. -Maintain a working knowledge of all CMC programs and upcoming events, (registration and non-registration based), and assure that front office staff is versed in these to field inquiries Finance: -Assist with tracking tuition income; including invoicing, billing, and accounts receivable -Tracking and updating student sliding scale status annually -Preparing and tracking faculty hours for the Finance Team -In collaboration with the program team, prepare and submit instrument supply budget for the fiscal year -This position is especially important in managing CMC’s instrument rental program Scheduling: -Develop and maintain the master school schedule for the year -Responsible for coordination of CMC’s Instrument Rental Program, as well as instrument donations for MDB and Richmond District Branch -Manage room rentals and assist with the management of the MDB room schedule -Review faculty programming needs and scheduling with the Program Director -Manage and update faculty records as directed Qualifications: -Strong communication and customer service skills, the ideal candidate is a team player and approaches all situations in a friendly and helpful manner -Administrative work experience in a non-profit and/or in the field of arts management is required; excellent written, verbal and presentation skills are essential; previous supervisory experience desired -Highly proficient in database management, Microsoft Office Suite programs, and GSuite; experience with ASAP -Connected database highly preferred -Commitment to Community Music Center goals and knowledge of music and music education are highly desired; -Efficiency and attention to detail, with the ability to work on multiple projects simultaneously -Strong organizational skills, with the ability to work both independently and as part of a team -Spanish language skills are highly preferred, and Cantonese and/or Mandarin language skills are also a plus.
