Role Description The Orchestra Personnel Manager is a part-time, hybrid role based in Santa Cruz, CA, responsible for overseeing the administrative and personnel functions of the orchestra. Day-to-day tasks include managing musician schedules and rosters, coordinating hiring and contracting of players and substitutes, and ensuring appropriate staffing for rehearsals, performances, and special events. The role involves administering payroll-related information for musicians, tracking attendance, and maintaining accurate personnel records in alignment with organizational policies and applicable agreements. The Orchestra Personnel Manager works closely with the Music Director, Executive Director, and operations staff to support rehearsal logistics, communicate performance requirements, and address personnel issues in a timely and confidential manner. Additional responsibilities may include assisting with auditions, performance evaluations, and supporting internal communication to maintain a professional and collaborative work environment.
Qualifications
Summary: The Orchestra Manager is responsible for ensuring the appropriate complement of musicians are engaged, running auditions, producing budges and payrolls, and ensuring compliance with the CBA, Federal, State, and Local regulations. The Orchestra Manager’s immediate liaisons are the Executive Director (ED)and The Music Director (MD).
Responsibilities:
1. Hires musicians in accordance with the Collective Bargaining Agreement
2. Tracks musicians by timekeeping, attendance, and contractual commitments per symphony season
3. Provides and coordinates with the ED, MD, and Librarian with instrumentation, work schedules, rentals, etc. throughout the season.
4. Administers auditions to fill vacant chairs including application acceptance, location acquisition, panel engagement, and support staff coordination.
5. Ensures all labor law compliance regulations are adhered to including sexual harassment training.
6. Submits payroll promptly after each symphony set to the office manager.
7. Provide budgets to ED and MD as needed.
Qualifications: The ideal candidate will have learning agility, be open to diversity, equity, and inclusion efforts, possess a collaborative mind set, be resilient when parameters change on short notice, creative and innovative, have excellent planning and time management practices, and possess excellent communication skills.
Requirements: A thorough knowledge of orchestral music, applicable labor law and documentation requirements, and MS office. Prior Orchestra Personnel Manager experience and personal instrumental performance history a definite plus.
